The Hesse Ministry of the Interior is located in Wiesbaden, Germany. The Ministry is responsible for the internal security of the German state of Hesse, which has a population of 6.3 million. Its responsibilities include management of state police, emergency services, and domestic intelligence. Carrying out this mission is a workforce of over 21,000 employees.

That workforce requires an extensive vehicle fleet. Keeping those vehicles road-ready, fueled, and in good condition was taking considerable manual effort. Not just the work itself, but also the administrative overhead required to track all fleet-related issues manually. The Hessen Ministry of the Interior worked with ecos systems to automate their fleet management and maintenance tracking so drivers could automatically provide information for servicing every time they signed a vehicle in or out.

The challenge:
Eliminating manual maintenance tracking

When fleet managers with exceptionally large fleets manually track maintenance schedules, vehicles will quickly begin missing their service windows. The long-term impact of falling behind on vehicle maintenance can be considerable and even create safety risks.

The fleet managers for the Hesse Ministry of the Interior were finding mileage and vehicle repair tracking highly inefficient using only spreadsheets. They needed a reliable method to ensure vehicles were flagged when maintenance was due without requiring an administrator to audit the fleet manually each day. They also wanted a streamlined process for drivers to report routine damage, such as broken lights or leaking tires, so compromised vehicles wouldn't be sent back out into the field over and over.

Our solution:
Networked key storage with automated maintenance locking

To address these logistical needs, ecos systems deployed an automated fleet management solution connected to ecos smart key cabinets. The Ministry deployed 20 ecos 1m/4 key drawer systems with an access terminal and management software specifically configured for secure vehicle key management.

This system tracks customized metrics for every vehicle. When a driver returns a key to the drawer, the system requires them to report mileage and any vehicle issues directly at the terminal. The ecos software actively monitors this data and the vehicle's mileage against predefined maintenance schedules set by the fleet administrators. When a vehicle needs preventive maintenance or has accumulated enough driver-reported issues, the system pulls the vehicle from circulation and notifies the fleet manager to contact the service team.

The result:
Proactive fleet maintenance and enforced safety compliance

Deploying the ecos 1m/4 drawers modernized the Ministry's fleet operations, thanks to the smart management software behind the key cabinets. By tracking mileage and vehicle condition in real time, the system automatically locks the keys for any vehicle that is due for service or has a driver report of damage.

This automated lockout feature ensures strict compliance with state safety regulations and the Ministry’s own maintenance schedules. Fleet managers no longer have to chase down mileage logs, and drivers can report incidents directly at the key terminal in seconds.
