The KRH Hospital Siloah in Hannover was founded in 1896 and has been part of the Hannover Hospital Group since 1998. With ten hospitals, over 4,000 employees and more than 2,500 beds, Hannover Hospital Group is the largest medical facility in Hannover.
As the largest of the ten hospitals, Hospital Siloah moved into the new building on the Ihme in 2014 where now approximately 1,000 employees treat over 24,000 inpatients in 12 specialist departments every year.

The challenge:
For a long time, the keys were kept in a pull-out cabinet at reception. Keys were issued and returned by the reception staff. All too often, keys were then returned incorrectly or sometimes not found at all. Insufficient traceability and lengthy searches resulted in a high expenditure of time and money.
For this reason, the solution of an electronic key management system was deliberately sought to save time and money. In addition to the secure storage of the keys, traceability was also required. The allocation of who is allowed to remove the different keys would also play a role in the required solution.
Our solution:
An electronic key management system with locked slots has been installed. The locked version ensures that certain keys can only be removed after prior assignment by an administrator.
This makes it possible for all professional groups at the hospital to use the system in parallel. For example, the available on-call rooms can be reserved and the corresponding key can be removed after a PIN has been entered.
Furthermore, various groups such as the service company, which is responsible for housekeeping, the secretariats of the various clinics or even external companies can access the existing keys. Thanks to the interaction between “ecos care“ and “ecos alarm”, those responsible receive a message via e-mail or push notification on their cell phone if a key is not returned by the end of the day.
Thanks to a centrally managed Outlook calendar in conjunction with the system‘s full history logs with audit trails per keys and users, it is possible to track exactly which company has not returned a key on time. This rapid feedback from the system means that the absence of a key is noticed immediately and lengthy searches are no longer necessary.
Despite the many professional groups that use this system, acceptance was 100% right from the start. Not only our own employees but also external companies find the solution very good and simple, so it was very well accepted by everyone involved.

The result:
The large and old cabinet has been replaced by a modern solution that securely stores the existing keys and ensures complete traceability. Thanks to the new system, everything is now more structured, and more secure and it saves time and money as the receptionist‘s working hours are no longer affected.
The system has paid for itself relatively quickly and has therefore been absolutely worthwhile. ‘I know that many hospitals still rely on this old, questionable solution and because of the advantages mentioned, I am happy to recommend ecos systems to others” – said Mr. Bartels, who introduced and manages the solution.
