The Golden West Casino of Bakersfield, California, is a local institution. They’ve been in business since 1995, offering many different card and table games and hosting many tournaments annually. In their nearly 30 years in business, they have found many opportunities to support local community organizations and nonprofits. 

However, at that same time, they had relied on manual tracking and security for their keys. They had to dedicate cashier staff to track keys for compliance with gaming regulations. By upgrading to an ecos electronic key cabinet, they improved their key management with error-free compliance logging. They were able to reallocate their staff members to more productive work. 


Challenge:
Manual key management was time-consuming 

Golden West Casino had over 90 keys to manage in their venue. Many of those keys were bound by strict gaming regulations requiring the casino to tightly control access to them and maintain detailed logs of how and when they were used. 

Some of the most sensitive keys were for their cashier cage, counting room, and executive offices. But they also had many other keys to track for back-office rooms, storage closets, and exterior doors. They had a simple paper logbook and a metal locking cabinet to track all of these keys. For regulated keys, they had a cashier cage staffer log keys in and out for compliance. 

That employee was tied to the backroom desk, but they were not the only staff members burdened with extra work. For proper logging, cashier cage employees had to sign keys out and back in when changing shifts instead of handing them over to their relief. They had no way to easily log key handovers in the course of regular operations. 


Our solution:
A high-capacity electronic key cabinet to automatically manage transactions 

ecos upgraded all of Golden West’s key management using a single, high-capacity key cabinet with 120 barrel locking slots. It holds Golden West’s 90 key rings with plenty of room for future growth. The Assistant Director of Security and Surveillance at Golden West created six distinct groups of employees in the key cabinet’s software based on job type and shift. He could then easily assign those groups to different keys. When they hired a new employee all they needed to do was add that individual to the right group and they automatically had full access to all the keys they needed. 

The Assistant Director said, “We went from pretty much the prehistoric age to the new century.”

Result:
Compliant key management without manual work hours 

“We don’t have to waste a department employee [on tracking keys] now that we have this key system,” the Assistant Director said. Now, Golden West Casino has air-tight, error-free control over all of its keys without a staff member tied to a backroom desk. They can easily meet the regulatory burdens from the California Bureau of Gaming Control and the Federal Department of Justice. 

Golden West backed up its PIN code access control with a camera mounted right into the cabinet, so whenever necessary, they could go back and verify who was signing keys in or out. Since it was an automated electronic system, it was available 24/7 whenever someone needed to enter the cashier’s cage or their counting room.
